SIGMA ELMS Privacy Notice

This notice explains privacy practices specific to SIGMA ELMS, including account access, learning activities, submissions, assessment records, and system security information handled inside the ELMS.

1. Information Covered

Depending on enabled features, the system may handle account and contact details, student or staff identifiers, class assignments, grades, assessment results, uploaded work, messages, and security or activity records.

The school must identify the specific information actually collected. Educational information is sensitive personal information under the Philippine Data Privacy Act.

2. Purposes and Lawful Grounds

Proposed purposes include providing course access, receiving submissions, supporting assessment and school records, communicating with users, and protecting accounts.

The school must document the applicable lawful ground for each activity, including the additional requirements for sensitive information. Acceptance of the Terms of Use is not a substitute for this assessment. Where consent is required, it should be requested separately for a specific purpose, with appropriate arrangements for minors.

3. Access and External Services

Access should be limited to authorized people who need the information for their role. The final notice must explain which records are available to students, teachers, administrators, and any other recipients.

If enabled, Google Drive may store uploaded documents; AI providers may process content submitted to AI features; and reCAPTCHA may process browser or interaction information for bot protection. The school must confirm the actual providers, information shared, purposes, safeguards, and any overseas processing before using real student data.

4. Storage, Security, and Retention

The final notice must describe the actual storage arrangements and security safeguards, including account access controls and protection of uploaded records. Users should not share passwords or confidential school records.

Retention periods and deletion procedures are pending school approval. Do not assume records are deleted immediately when an account is closed; academic record obligations may apply.

5. Your Rights

Subject to applicable law, you may request information about processing, access to your personal data, correction of inaccurate information, and other applicable remedies. Some requests may be limited by lawful school record obligations.

Students under 18 may seek help from a parent or guardian. Privacy concerns may also be raised with the National Privacy Commission.

6. Browser Storage

The ELMS may use browser storage or cookies for sessions, security, and preferences. The final notice should list the technologies actually used and their purposes. Clearing browser data may remove locally saved preferences.

7. Official School Privacy Policy

For the school's general privacy practices outside SIGMA ELMS, read the official Interface Computer College Privacy Policy.

8. Contact and Review

For now, direct questions to the school administrator. The school must publish the responsible institution's details and a verified data protection officer contact before adopting this notice.

This draft should be reviewed whenever the system's processing changes. Reading it is not consent to optional processing.
